TSheets Time Tracking for Customer Billing and Payroll

The coronavirus stay-at-home orders have given me lots of time to work on my bookkeeping business.  I finally have the website I’ve been talking about for six months, I can bill my hourly customers quickly and efficiently each month, I can run payroll easily, and I can track my tasks and schedule so I don’t forget anything.  Each of these items was facilitated by a tool I that I now use on a regular basis.  This week, TSheets by QuickBooks Time Tracking for Customer Billing and Payroll.

TSheets by QuickBooks – TSheets.com     TSheets is timekeeping solution that can feed directly to QuickBooks Online.  In QuickBooks I can use time entered to create invoices for my clients or run payroll for employees based on their hours worked.  Since it is a tool that does a lot of things at once, it can be very complicated to setup.  That is why they offer personal technical service to walk you through getting setup.  Once setup and synced with QuickBooks Online, it is a breeze to use.   Their Customer Service is outstanding!

TSheets has several interfaces, my favorite being the TSheets App on my phone.  Since I work with a variety of clients, and bill them hourly for my work, it is very important to capture all my time.  The TSheets App uses the client list that I have in QuickBooks, so I can select one from the list, and hit a button to start tracking my time.  I can enter if the time is billable to the client, and a description of what I am doing.  If I go to a client location, it recognizes where I am and asks if that is the client I want to clock in for.  I can easily switch between clients using the app, and clock out when I am done.  Employees can also use the app to see their schedules, and track their hours for payroll using their own phones. Supervisory employees can also clock in and out others on their crew.  Managers can use the app to see the schedules, who is currently clocked in, and how many hours each employee has worked this week. 

The TSheets.com computer interface is the most robust, including all the functionality of the app, and timesheet management and other data entry points. It is generally used for managers who are validating and approving employee time for payroll and/or billing to clients. Once time is approved by a manager, it can be synced with QuickBooks Online for the selected time period.  Managers can see who is clocked in right now and all timesheets entered by employees. They can see the employee’s location from the time they clocked in until they clocked out.  There are lots of reports and employee schedules can be created here. 

TSheets Timeclock interface, which allows employees to login at a single location using a tablet.  Using facial recognition and pin number, employees can clock in and out of work.  They can select a particular project or client they are working on, and a description of what they are doing.  Simple to setup, simple to use.

The biggest benefit I have found with TSheets is that all the time entered is stored in the cloud.  Previously, I had an app that I used to track my time, but it did not feed directly to QuickBooks Online. I would download my time to a spreadsheet, then manually enter in QuickBooks Online.  A client also used this non-connected app, and would have to ask her employees every week for their timesheets from the app, as they were not stored in the cloud where she had access. They were only accessible through each person’s phone.  Using TSheets, we are together saving lots of time getting the information to the Quickbooks Payroll system for her and onto client invoices for me.  With weekly payroll, TSheets is literally paying for itself in time and aggravation!
